Job Description

The position for the Office/Project Coordinator includes the below roles and responsibilities:

Office/Project Coordinator

• Under general supervision, resolves most problems but refers more complex issues to higher levels
• Processes documents (including indexing into database and/or enterprise content management system).
• May serve as a resource to others in the resolution of problems and issues.
• May orient, train, assign, and check the work of lower level employees.
• Serve as a secondary liaison between project clients and the URS team, supporting the GM and PMs.
• Prepare client-related project requirements, including contractor ID applications and portal account management.
• Manage document control processes: receive, organize, and archive drawings, reports, emails, and other project-related documents.
• Coordinate project resources, including:
• Digital archiving of daily project records.
• Preparation of documentation.
• Tracking of file formats and technical equipment (calibration, certification, usage).
• Assist GM and PMs in developing proposals, reports, schedules, scope statements, and project plans.
• Monitor project progress and team performance; provide updates to stakeholders.
• Handle daily correspondence: distribute incoming letters, prepare meeting minutes, and maintain records of RFIs, transmittals, and client communications.
• Supervise and train new administrative assistants and document controllers, especially in:
• Aramco ID applications.
• Staff training records.
• Equipment tracking and calibration.
• Documentation and archiving.
• Updating office and business certificates
