Description

KEY ACCOUNTABILITIES:

  • Accountable for partnering with Information Governance Corporate Operations leadership to assist in development and implementation of information management solutions, application of policy to information throughout its lifecycle, and providing training and information management support to corporate departments.
  • Ensure execution of assigned operational tasks such as file inventory, disposition of physical and electronic files, document management system workspace creation requests, litigation hold implementation, and application of records retention schedule. Ensure compliance with defined policies and procedures and/or agreed upon results with requestor and/or team leadership. Work with requestors and/or team leadership to develop solutions when a defined policy or process is not available and ensure team leadership agrees with approach before executing work.
  • Understand corporate information management needs, analyze data, and recommend solutions that ensure compliance with 100% of firm information governance policies.  Solutions include, but are not limited to:  
        o    Ensuring data quality in electronic systems such as those used for managing the lifecycle of information
        o    Obtaining reporting from existing technology such as the firm’s document management system, shared drives, SharePoint, etc. to manage files, and 
        o    Recommending new configurations or implementations of technology to meet users’ needs.
  • Ensure response to all assigned requests within 24 hours of assignment. Determine appropriate actions to resolve requests and documents all request activity in request log. Close 100% of tickets upon completion with 100% of required information completed. Store 100% of supporting material in designated team repositories.
  • Identify improvements to process, evaluate against information management industry standards and provide recommendations to manager for improvements.
  • Lead end user training sessions as requested to ensure training content is delivered accurately and appropriately represents system features and user best practices and policies.
  • Complete special projects as assigned to deliver project objectives within the scope, budget and timeline defined for each project.
  • Maintain up to date knowledge of industry standards and best practices related to information management.
  • Perform such other/additional duties as may from time to time be assigned.


Requirements

TECHNICAL SKILLS AND COMPETENCIES REQUIRED:

  • Demonstrated experience with records management principles and practices, including:
        o    Managing the lifecycle of information, electronic and paper
        o    Capturing inventory
        o    Applying retention rules to information
        o    Identifying responsive records for litigation hold based on specified criteria
        o    Implementing destruction of eligible information
  • Demonstrated experience with information management systems and data tools, including:
        o    Document Management Systems
        o    Records management software
        o    Records retention software
        o    MS Excel
  • Demonstrated ability to define and document detailed step-by-step processes; evaluate existing processes with attention to detail and identify efficiency improvements; create training materials for end users to execute against processes.
  • Demonstrated ability to analyze large volumes of disparate information, determine commonalities and organizational structure, demonstrated ability to provide accurate work instructions to junior teammates.
  • Demonstrated ability to execute multiple projects against competing timelines and maintain quality standards.
  • Demonstrated ability to conduct operational tasks with vendors.
  • Demonstrated ability to provide a high level of customer service, which meets team service standards as well as user expectations.
  • Demonstrated ability to develop productive operational partnership with peers and users and management.

EDUCATION AND CERTIFICATIONS:
Required: Bachelor’s degree in the field of information management, archives, library sciences or other related field.

EXPERIENCE REQUIRED:
5+ Years of applied work experience
